Instructions for presenters

 

AnaEE Science Conference 2026 takes place in Palais de l’Europe, Menton, France, 29th of September - 1st of October 2026.

 

Uploading your presentation

Our team require the presentations in advance to ensure all sessions run smoothly. Therefore, all presenters are obliged to upload their presentation in advance.

The deadline for uploading your oral and poster presentation is Thursday the 24th September at 23:59 CEST

Oral instructions

Key points for all oral presenters: 

  • Maximum speaking time per presenter: 10 minutes, followed by 5 minutes for questions (for keynote speakers, maximum time is 25 minutes, followed by 5 minutes for questions).
  • Presentations should be prepared in a widescreen format, with a 16:9 ratio.*
  • Supported file formats are:
    • .ppt with embedded fonts**
    • .pptx with embedded fonts
    • .pdf
  • File size: max. 50 MB***
  • You may add the AnaEE-ERIC conference logo to your presentation, otherwise feel free to use your own university template for the presentation.

  1. The conference programme is published on the conference website. To see more exact timeslots, please press Detailed view in the upper right corner of the timetable.
  2. Each oral session will be in the main conference room (Salle de Grande Bretagne). Please check carefully the timing and room of your oral session from our programme. Our programme is subject to change, so we strongly advise you double check the time of your presentation one or two days before the start of the conference. 
  3. You are expected to be present in the room 10 minutes before your session begins. Due to the tight conference schedule, some sessions may still be going on in that same room when you arrive. Please still be on time in order to keep the schedule of the conference.
  4. When your presentation time comes, your session chair will indicate this by stating something like "the floor is yours" and the communications team will project your pre-uploaded presentation slides. You can then step on the stage and start the presentation.

Poster instructions

 

  1. Poster Dimensions
    1. Size: A0 (portrait) - 84.1 cm (W) × 118.9 cm (H)
  2. Required Content Sections
    1. Each poster should include:
      • Title
      • Authors and affiliations
      • Introduction / Background
      • Methods
      • Results (figures, tables, graphics encouraged)
      • Conclusions / Key messages
      • Acknowledgements and funding
      • Contact information (email, QR code to project or data)
  3. Formatting Recommendations
    1. Use large, readable fonts: Title (72-100pt); Authors and affiliations (36-60pt); Headings (36-60pt); Body Text (24pt minimum)
    2. Ensure high-quality images and figures (minimum 300 dpi)
    3. Maintain strong visual hierarchy (use colour sparingly and consistently)
    4. void dense blocks of text; use bullet points where possible
  4. Scientific and Ethical Requirements
    1. All data should be clearly labelled and include units
    2. Indicate whether results are preliminary
    3. Acknowledge relevant funding sources
    4. Ensure that all co-authors approve the poster content
  5. Poster Session Information
    1. Posters must be set up prior to the session in the designated area
    2. At least one author must be present during the official poster session
    3. Presenters are encouraged to prepare a 2–3 minute summary for discussions with participants
  6. Poster Printing and Transport
    1. Presenters are responsible for printing and transporting their posters
  7. Optional Enhancements
    1. QR codes linking to datasets, publications, or project websites
